Use a formal email template when your message has a repeated purpose, a fixed tone, or a legal trail. Outlook is usually better for corporate replies, approvals, HR notices, and client communication. Gmail is faster for simple outreach, support replies, and small-team workflows. Gmail requires templates to be enabled before use, according to Google’s own help guide [source: Google].
TLDR: If you write formal emails every week, templates reduce errors and save real time. For example, a project manager sending 20 weekly status updates can save around 60 minutes if each template cuts writing time by just 3 minutes. Pick Outlook templates for structured business communication and brand control. Pick Gmail templates for quick replies, prospecting notes, and lightweight workflows.
What Makes a Formal Email Work?
A formal email is not just a polite message. It is a structured business record. It needs a clear subject line, a respectful greeting, one main point, and a specific next step.
The best formal emails usually include:
- A precise subject line, such as “Request for Approval: Q4 Budget Revision.”
- A professional greeting, using the recipient’s name when possible.
- A short opening sentence that states the purpose.
- Relevant details, grouped in short paragraphs or bullets.
- A clear call to action, such as “Please reply by Friday.”
- A proper closing, including your name, title, and contact details.
Templates help because they stop you from rebuilding that structure from scratch. They also reduce those tiny mistakes that make an email look rushed. Missing attachments. Odd greetings. Vague endings. We have all sent one and wanted to disappear.

Outlook Templates: Best for Corporate Formality
Outlook templates fit registered businesses, departments, and teams that need consistency. If your company uses Microsoft 365, Outlook often plugs into the tools people already use. Calendar invites, Teams meetings, shared mailboxes, signatures, folders, and rules all sit close by.
Outlook gives you several ways to create reusable emails. You can use My Templates, save an email as an .oft file, use Quick Parts, or create signatures for repeated blocks of text. Microsoft also documents template options for Outlook users [source: Microsoft].
This makes Outlook strong for messages such as:
- Client onboarding emails
- Policy reminders
- Invoice follow-ups
- Legal or compliance notices
- Internal approval requests
- Formal meeting confirmations
The main advantage is control. Outlook feels built for companies that care about formatting, records, and repeatable process. You can create a template with branding, a formal signature, set wording, and attachments. That is helpful when ten people must sound like one company.
The annoying part? Outlook can feel heavy for a quick template. Saving and finding .oft files may take a few extra clicks. Honestly, it feels like a tool designed by people who expected every email to pass through three committees.
Gmail Templates: Best for Speed and Simplicity
Gmail templates are simpler. They work well when you need to reply fast and keep the message clean. Once enabled in Gmail settings, you can write an email, save it as a template, and insert it later from the compose window.
Gmail templates are good for:
- Sales outreach
- Customer support replies
- Recruiting messages
- Freelance proposals
- Appointment confirmations
- Polite follow-ups after no response
The main advantage is speed. Gmail keeps the process light. You do not need to manage files or dig through menus for long. A user can create a polished reply, save it, and reuse it in seconds.
The catch is that Gmail templates can feel too basic. There is no deep formatting system. There is no native approval flow. If your company needs strict language control, Gmail alone may not be enough. Expect to waste time fixing small layout issues if your template has tables, logos, or complex spacing.

Outlook vs Gmail Templates: The Practical Difference
The choice is less about “better” and more about context. A formal email for a law firm is not the same as a formal email for a startup founder asking for a meeting.
| Feature | Outlook Templates | Gmail Templates |
|---|---|---|
| Best use | Corporate, legal, HR, finance, client service | Sales, support, recruiting, quick operations |
| Setup | More options, more clicks | Simple once enabled |
| Formatting | Stronger for formal layouts | Better for plain, clean messages |
| Team control | Better in managed Microsoft environments | Good for small teams, limited for strict review |
| Speed | Moderate | Fast |
How to Write a Formal Email Template
Start with the purpose. Do not start with decoration. A template should answer one question: What does this email need to achieve?
Use this structure:
- Subject: State the task, request, or topic.
- Greeting: Use “Dear,” “Hello,” or “Good morning” based on the relationship.
- Opening: Explain why you are writing in one sentence.
- Body: Add only the details needed for action.
- Action: Ask for a reply, approval, file, date, or decision.
- Closing: End with a polite sign-off and full signature.
Here is a simple formal template:
Subject: Request for Approval: Updated Project Timeline
Dear [Name],
I am writing to request your approval for the updated timeline for [Project Name]. The revised schedule reflects the latest delivery dates from the design and development teams.
Please review the summary below:
- Original deadline: [Date]
- Revised deadline: [Date]
- Reason for change: [Brief reason]
Please confirm your approval by [Date], so the team can proceed without delay.
Kind regards,
[Your Name]
Common Mistakes to Avoid
Templates save time, but they can also make mistakes travel faster. The worst one is leaving a placeholder in the message. Nothing says “I barely checked this” like “Dear [Client Name].”
Avoid these errors:
- Using stiff language: Formal does not mean robotic.
- Writing huge paragraphs: Busy readers scan first.
- Forgetting personalization: Add names, dates, and context.
- Overusing templates: Some messages need a fresh response.
- Skipping proofreading: A template is not a safety net.
Which One Should You Choose?
Choose Outlook templates if your emails must follow company rules, use approved wording, or carry a polished corporate format. It is the safer pick for departments that need consistency across many senders.
Choose Gmail templates if speed matters more than rigid formatting. It is ideal for people who send frequent but simple formal messages, such as follow-ups, confirmations, and short proposals.
The smartest approach is to keep your templates short, specific, and easy to edit. A good template should not trap you. It should give you a clean starting point, protect your tone, and help the reader act faster.
